Purpose: This feature allows the user to upload files of any size and any type. The file can also be associated with a patient or a user. There are three sections to this feature:
Filter There are five filters for this section, “Associated Patient”, “Associated User”, “category, subcategory or comment” and “Date”. The user is allowed to use one or more of these filter to filter out the documents.To filter out the documents:
Note: If the “Date Range” check box is checked and the user did not fill in a start date for this field then the system will grab all the documents with the creation dates less than the end date. If the end date field is empty the system will grab all the documents greater than or equal to the start date. Lastly, if both the start and end dates are empty the system will not check for the dates. Table The table displays the documents in the repository. It will start out with no documents. The user will have to click the filter at least once for the documents in the repository to appear. Once the documents show up in the table the user can then click on the row entry to download the document. When the user clicks the document a “File Download” popup will appear. The user can select the action he/she wishes to perform.Delete, Modify and To Patient Image List There are three buttons that are associated with this table “Delete”, “Modify”, and “To Patient Image List”.Delete - The “Delete” button gives the user the option to delete the document from the repository. Modify - The “Modify” button give the user the option to modify the information associated with the document. When this button is clicked, the system will bring the user to another page. On this page the user can modify the document information (remember to click “Save” to save the changes). If the document is in a viewable format, the user will be able to preview it, otherwise there will be a diskette or a pdf picture that is a link that will let the user save the document on the user's computer. The user also has the option to replace the file content with another file. This will bring up a popup prompting for the path of the replacement file. When uploaded, this will automatically replace the file and cannot be undone. It is ok not to have the extension of a filename as part of the filename, but this will cause the computer not to know which program to associate the document with. If you replace the file with a new file, the new file content will be appended to or replace the current file extension. FYI: A file extension is the combo of letters after the period in a file name. To Patient Image List - If a patient is associated with the document, the "To Patient Image List" button will appear. When the user clicks on this button the system will copy the document into the patient’s image list. The patient’s image list can be accessed via the patient's navigation bar. Upload This box allows the user to save a new document with category/subcategory/associated user/associated patient info. A comment and a file are required for an upload. You can also indicate whether the document is private or not. If a document is not private, it can be associated with any or no user. If it is private, it must be associated with the user setting it to private. A private file can only be assessed by the associated user.FAQ: How can I route an incoming fax to a doctor so that he sees it? (like the image section of the doc, forget me not) You can associate it with his user from document repository (and soon document manager) and he can check his incoming faxes. To do this go to document repository where you can edit document properties and associate a user. Do you save scanned documents as a gif or pdf file? It depends on where you’re uploading them from. The document repository supports just about every type of file. Images in the patient note just supports image formats like gif, tif, jpeg, etc. Do you have to save and fax? No, because outgoing faxes are automatically saved in the system. Can we fax a letter to the referring doctor directly? Yes you can through outgoing fax. ### |
