a Batch Mode
Overall function, use & design:
Batches are used to segregate and/or group work generated in a particular
Practice They tag charges and transactions for reporting purposes. All
transactions posted to the system have a Batch associated with it and
are posted under that Batch. Synabill allows the Group Practice to
Batch by time period, user, task (payment posting, charge entry
etc
), or a combination of these. Each individual Practice must decide
how it wants to Batch its work. Practice's need to decide
which, is the best system for their enterprise, in order to facilitate
optimum organization. Synabill has three styles of Batching: Time Based,
User Based, or Flexible. Note: To ensure the integrity of financial data;
fees, payments and adjustments cannot be edited once a batch is closed.
In this instance a new transaction must be posted to the system to correct
errors or oversights. Once a batch is closed it cannot be reopened. When
a batch is closed it is automatically archived for easy access for future
reference. This should not be confused with EDI batch submission.
The two are not related.
Group Batch Setup/Management
- Group administrators must choose a Batch System Mode which is
Group wide.
- Only one mode can be used at a time.
- If the Group decides to change modes, all open batches would be automatically
closed at the time of changing modes.
Styles/Modes of Batching
- Time Based
- User Based
- Flexible
Time Based
This is the simplest and easiest system of batching.
- The whole Group Practice posts work under a single batch.
- The batch is generally opened and closed on a time interval basis.
- Daily, weekly. Monthly. Etc
, decided by the Practice.
- Synabill can be setup to automatically close the batch at a given time
or interval.
- Only one batch is ever open at a time.
User Based
This is good for control, review, and management of a single users work
or specific task(s) performed.
- One user per batch.
- No shared batches.
- A user may have more than one batch open at a time, but no users
can post work under another user's batch. This allows for segregation
of an individual's work in an organized fashion and also allows for certain
specific tasks to be performed under a single batch, ie. Charge posting,
Payment posting.
- The user must choose an active batch under which their work will
be posted.
- This is not based on time.
- Fees cannot be edited once the batch is closed.
Flexible System
Allows for more complex grouping and segregating of transaction posting
as the Practice sees fit. It is recommended that the practice establish
a protocol for regulated closing and use of batches.
- Batches are sharable between users.
- Batches can be restricted to a certain user(s)
- Each user must choose an active batch under which their work will be
posted.
- Charge fees can only be edited from the original batch under which that
charge was posted and only while that batch is open.
- Charge fees, payments & adjustments cannot be edited once the batch
is closed.
- Is not based on time.
User Batch Management
Click Batch Management at the top of any ledger or posting
transaction page.
- Create Batch
- Set Batch as Active
- Disallow new users to join Batch
- Allow new users to join Batch
- Close a Batch
- Show closed Batches
Create Batch
Allows the user to create a new batch
- Click on Create Batch
- Window opens and asks the user to name the new batch, then click OK
- Depending on mode of group this batch may or may not be automatically
available to other users.
§ Only if Group mode is Flexible is a newly created batch automatically
available to other users.
- Batch will appear in the Batch Management box under its status.
Set Batch as Active
A user's Active batch is the batch that the user's work is currently being
posted under.
- Highlight the Batch that is desired to be made Active
- Click on Set as Active. An asterisk will appear indicating that that
is the users current active Batch
Who is in a Batch?
- To see which users are a member of a batch,
- Highlight that batch, the names of all members of that batch appears
in the bottom box. Users in selected batch
Disallow new users to join Batch
Restricts any additional users from joining that batch's group of users,
blocking them from using that as an Active batch.
- Highlight the Batch that is to be restricted to additional users.
- This Batch will then appear in Open Batches (Unavailable to other users)
status in the Batch Management box
- Only users who are members of that batch may set a batch to this status.
Who is in a Batch?
- To see which users are a member of a batch,
- Highlight that batch, the names of all members of that batch appears
in the bottom box. Users in selected batch
Allow new users to join Batch
Changes the status of a batch from unavailable to additional users to
available to additional users
- Highlight the Batch that is to become unrestricted to additional users.
- Click on Allow new users to join
- Batch status changes and is moved, viewable in the Batch Management
Box
Who is in a Batch?
- To see which users are a member of a batch,
- Highlight that batch, the names of all members of that batch appears
in the bottom box. Users in selected batch
Close a Batch
Closing a batch permanently closes the batch to new transactions or charges.
Edits may be made to most fields for transactions or charges whose batches
are closed.
- Highlight the batch to be closed
- Click Close Batch
- Closed batches are automatically saved and archived.
- Closed batches are saved using Batch Report (Archived)
Show closed Batches
Allows user to see a list of closed batches and view individual closed
batches via an Excel file.
- To see list of closed batches, click on Show Closed Batches
- To view a closed batch
- Highlight the desired Batch
- Click on Show Batch Report, Report is created as Excel Spreadsheet
and is actionable.
